What is OptiRoutes?

OptiRoutes is a web application for planning and running delivery routes, with a mobile app for the drivers. The office loads the day's orders, the system plans the routes, the drivers deliver with the app, and the managers see the day live on a map and close it with the money and the paperwork in order.

It is built for businesses that deliver their own goods with their own drivers every day — food and beverage distributors, bakeries and dairies, frozen and chilled goods, pharmacy supplies, wholesale, building materials, parcel delivery and any business that collects cash or cheques at the door. A team of three drivers and a fleet of dozens of routes work on the same screens; the price follows the number of routes you actually run.

How does a working day run in OptiRoutes?

Every distribution day has the same shape: orders come in, routes are planned, drivers go out, customers wait, and the day has to be closed. OptiRoutes keeps all of it in one system, so the planner, the dispatcher, the drivers and the cash desk look at the same data.

Morning: load the orders

Orders arrive from a file you export from your ERP or ordering system, from an automatic load without a file, or typed by hand. Addresses are checked as they are loaded: an address the map cannot place is shown in red and stops the upload until it is fixed, so no route is planned to a wrong point. One customer window holds the customer's details, addresses and history.

Before the trucks leave: plan the routes

The planning wizard divides the orders between the drivers going out and puts each route in order, by your limits: working hours, stops and hours per route, minutes per stop, vehicle type and time windows. Learning AI planning learns from the routes your drivers actually drive, so the plans follow how your team really works. You can set priority lines, plan in rounds, keep stops that miss their time window or move them, lock a route you have settled so no re-planning touches it, and drag a stop from one route to another on the map.

During the day: follow the drivers live

Routes are sent to the drivers' phones. The real-time distribution screen shows every driver on the map with the progress of each route, the delivered and failed stops, and the last location. Customers can receive an SMS before the driver arrives, with an arrival tracking link; contractors' routes can be shared on WhatsApp.

At the door: the driver app

In the Optiroutes Driver app the driver sees today's route and stops, opens navigation to each stop, marks each delivery as delivered or explains why not, takes photos and the customer's signature as proof of delivery, records cash and cheques, and finishes with an end-of-day summary.

Evening: close the day

The cash desk receives each driver customer by customer: money and cheques against what the driver reported, pallets and plastons counted, and the day closed — or reopened if something has to be corrected. Signed delivery notes can be e-mailed by rules (every note, only notes with a remark, only notes with returns), and the proof-of-delivery archive can be downloaded as a ZIP. Reports show drivers, periods, driver performance and bonuses.

How do you get started? Seven steps

After you sign up with your e-mail (a 6-digit code confirms it) and your business details, your account opens at once and a getting-started wizard takes you to your first routes. Optional steps can be skipped and finished later; the step you stopped at is kept.

1. Business details

   Your business name, phone and the address routes leave from and return to. The country of the address sets the language, currency, units and the format of numbers, dates and times; you can edit them.

2. Drivers

   Add drivers with a first name, an e-mail and an app password. Their departure and return addresses start as the business address.

3. How we plan your routes

   Set the basics of Learning AI planning: vehicle type, working hours, drivers going out, the most stops and hours per route, minutes at each stop and whether routes return to the business.

4. Orders

   Type a few orders straight into the wizard — who and where — or open the orders screen to load a file from your system.

5. Plan your routes

   Press “Plan my routes”. Within seconds to a minute the routes screen opens, where you can move stops, reorder, change a driver, and lock or close a route.

6. Your drivers' app

   Drivers scan a QR code to open the app, sign in with the e-mail and password you set, start the route, navigate, deliver, record proof of delivery and cash, and close the day.

7. Summary

   A checklist built from the real data shows what is ready and what is missing: business address with a map location, at least one driver, the planning method, orders, and today's routes.

What do you need before you start?

Very little. A computer with a modern browser for the office, a phone for each driver, and the list of tomorrow's deliveries — a file from your system, or a few addresses typed by hand. You do not need to draw delivery areas first: Learning AI planning starts from your orders and drivers, and gets better as it sees the routes your drivers actually drive.

• Your business address, picked from the map suggestions, so routes have a starting point.
• At least one driver with an e-mail and an app password.
• A day with orders — typed in the wizard or loaded from a file.
• Your limits — working hours, stops per route and minutes per stop. If you are not sure, keep the defaults, plan one day and adjust by what you see.

Everything you set in the wizard is saved in the system at once, and you can change it later in Settings.

How is OptiRoutes priced?

OptiRoutes is prepaid and priced from $49 per line per month. A line is one route of one day. Your monthly charge follows the average number of lines you run a day in that month, so a business that runs 5 routes a day on average pays for 5 lines, whether it has 5 drivers or 8. Every line includes a number of stops; only extra stops cost a little more. Prices can differ by country, and VAT is added where it applies.

You add credit by card (payments are processed by Stripe) and can turn on automatic top-up. There is no commitment and no per-driver seat. When the balance runs out, calculating new routes stops until you top up; routes already calculated stay. Once you are signed in, the billing screen shows your own price.
